The restructured platform has become the operational foundation for the entire loan document lifecycle, enabling the lending team to complete loan processes more efficiently from initiation, underwriting, disbursement to the duration of the loan.

San Diego, November 3rd / PRNewswire / -- A security documentation collection platform for complex loan and financial services workflows, FileInvite, today announced the official launch of a completely rebuilt platform designed specifically for multi-party documentation workflows related to SBA, commercial real estate, and other complex business loans. The platform was unveiled at the NAGGL annual conference, marking the company's shift from a general-purpose documentation collection tool to an operational foundation that covers the entire loan documentation lifecycle.

At the time of this release, SBA loans are becoming more dependent on documentation. According to Coleman Report, the median time from approval to disbursement for SBA loan type (7(a)) is now 21 days, which represents a 31% increase from the 2024 fiscal year. This is due to the requirement for more documentation, delivery conditions, and third-party involvement. With SBA introducing a new round of stricter underwriting requirements in the 2027 fiscal year, loan teams are required to collect, verify, and track even more documents from various parties for each loan.

Built-in collaboration in document workflows

This release focuses on collaboration as the core of the document collection workflow, starting with a new feature named Invite Sharing. This feature allows different organizations to initiate work based on the same shared document. Multiple teams see the same requests, the same files, and the same real-time status, so there is no need to forward attachments, request files repeatedly, or verify two versions of the same loan documents. The party initiating the loan still has control over the invitations, and each upload, review, and approval is recorded in a timestamped audit trail to support SBA and regulatory compliance requirements.

This feature is specifically designed for the cooperative relationships that are essential for complex loans, including banks, SBA, LSP and CDC that coordinate SBA loan packages 504, lead lending institutions that share documents with loan participants, brokers who transfer complete borrower files to lending institutions, as well as loan teams that collaborate with external legal counsel during the lending process.

Invite Sharing can also be extended to third parties that have not yet used FileInvite, such as lawyers, LSP, third-party lending institutions, and guests. They will receive a simple and secure login portal through which they can view lists and access documents via a dashboard.

Rebuilding a platform for loans with higher volumes and greater complexity

The new version FileInvite is the result of a comprehensive technological reconstruction of the company. The two-year reconstruction process has provided the team with a faster and more reliable experience, enabling them to match the volume and complexity of business faced by lending institutions, and it also lays the foundation for new features. One of the main factors that have driven customers to migrate to the new platform is the enhanced reminder strategy and the improved delivery of emails and text messages, which ensure that documents arrive earlier, thus helping them to complete loans more quickly. In addition to multi-party collaboration, the platform also features AI to assist in intelligent workflow matching, regular invitations for loan ongoing management, and a redesigned template library.

  • AI intelligently utilizes document classification and data extraction to identify submitted content, automatically marking it as received, and routes each file to the correct location. As a result, processing is faster, there are fewer mismatches, the borrower's experience is safer and more intuitive, and a neater loan documentation is formed from submission to review.
  • For the team responsible for managing the loan tenure, the newly added regular invitation feature, scheduled on a calendar basis, has replaced the time-consuming follow-ups via phone and email that were still necessary even with the traditional “tickler” system. Regular invitations will automatically send out file requests to the same group of borrowers at the same schedule each year, to ensure loan compliance and to provide irrefutable communication records.
  • The template library is rebuilt from scratch, with categories and subcategories set according to loan types. Users can select multiple templates at once in order to assemble a complete loan package under role-based access control.

Designed for regulated industries that handle sensitive personal identification information

FileInvite continues to support the highest levels of privacy and security standards, including SOC 2 Type II and GDPR compliance, in-transit and static encryption, role-based access control, multi-factor authentication, as well as a complete timestamped audit trail for each upload, review, and approval. This platform is designed to handle sensitive financial data on a large scale and is capable of withstanding regulatory and audit reviews.

FileInvite The Chief Executive Officer, James Sampson, stated: "Document collection in complex loans has always been a team effort, but the tools have not reflected this approach. Each transaction involves multiple organizations requesting overlapping documents from the same borrower, and this comes at a cost in terms of delays, rework, and compliance risks. We have rebuilt FileInvite from scratch to ensure that every party involved in the loan process can work based on the same request, the same set of documents, and the same audit trail. This release is not just about new technology; it is also about eliminating frictions between lending institutions and their partners."

PB & T Bank's SVP / SBA Division Leader Mark Abell means: "Our loans involve many parties, and it was previously necessary to continuously follow up to ensure that everyone worked based on the same set of documents. The new FileInvite platform allows our team and partners to view at one place which documents have been received and which are still missing. Moreover, the transition to the new platform has been smooth for both our team and the borrowers. Specifically, the ability to raise questions or provide answers regarding a particular document, and to embed comments directly next to the document, is very impressive. FileInvite is built around the daily operational methods of loan management, and I think that's indeed unique."
